Administrative Assistant

Job Description

 

Principal Function – The Administrative Assistant is responsible for performing clerical duties and providing support/assistance to the minister(s) and other specified church leaders.  This person is directly accountable to the lead pastor and/or other minister and will work closely with the minister(s) in the performance of all assigned responsibilities.

·       Organized, punctual, and self-motivated

·       Maintains clean and neat appearance

·       Strives to keep work environment clean and neat

·       Has high school diploma or equivalent

·       Office administration experience preferred

·       Experience working with Microsoft Office applications

·       Experience with QuickBooks preferred

·       10-15 hours per week (daytime hours preferred)

 

Responsibilities

·       Answer phone/emails, greet office guests, etc.

·       Duplicate printed materials for church program directors and provide assistance, as requested

·       Be willing to assist Ministers with data entry and other work-related projects

·       Keep FBC calendar updated at office/online and give to janitor & setup team

·       Collaborate with ministers and church leaders to produce the monthly church newsletter

·       Enter church financial information in computer, write monthly/miscellaneous bills, write monthly mission checks, pay bills, enter contribution information, send contribution letters each January

·       Update bulletin board and foyer bookshelves

·       Print attendance sheets for Sunday School classes to use the first Sunday of the quarter

·       Produce the Annual Church Profile report for the annual FBC meeting and send to MPBA

·       Prepare and mail package of reports for the Annual Business Meeting to membership

·       Make arrangements for maintenance and repairs of equipment and other property, as assigned.

·       Order office supplies and various church supplies as requested by church leaders

·       Maintain church records including addresses, membership roster, attendance records

·       Memorials-send confirmation letters to donors, give family list of donors, order memorial plaque

·       Order flowers or send card to FBC family members after a death in their immediate family

·       Promptly informs Ministers and other appropriate people of need for clarification, instruction, and assistance in the performance of any assigned task

·       Maintain filing system

Make reservations for ministry groups: restaurants, events, hotels, vehicles
